Privacy policy
Last updated 29 October 2026
This policy explains what personal information Era Search Pty Ltd (ABN 76 695 632 627) collects, why we collect it, who we share it with and how you can access or correct it. We call ourselves “Era”, “we” or “us”. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
The short version: we collect what we need to book your call, work with you and measure our marketing. We never sell your information.
What we collect
When you book a strategy session
Our booking form asks for:
- your name, work email and mobile number
- your business name and website
- a few answers about your business: what kind of business it is, what you want from search, a rough monthly revenue band, who handles your SEO now and when you’re looking to start
- anything you choose to tell us in the optional notes
We use your revenue band and the other answers to work out whether we’re a good fit before we meet. We treat them as confidential.
When you contact us or work with us
If you call, email or message us, we keep what you send and our replies. If you become a client, we collect what we need to do the work and bill you. That includes contact details for your team, billing details and access to accounts such as Google Business Profile, Analytics and your website. Our client agreement covers that information in more detail.
We record and transcribe our calls, including strategy sessions, so we have accurate notes and don’t miss anything you tell us. We use AI tools to summarise those notes and prepare for our next conversation with you. We’ll tell you at the start of a call that it’s being recorded, and you can ask us not to record it.
When you use our website
Like most websites, ours collects some information automatically. That includes the pages you visit, how you got here (for example the ad or search that sent you), your approximate location, your device and browser, and your IP address. We collect it using cookies and similar tools from Google and Meta (see Cookies and tracking). We also use Cloudflare Turnstile on our booking form to stop spam, which checks your browser and IP address.
How we use it
- to book, run and follow up on your strategy session, including email invites, an SMS reminder to your mobile and follow-up emails afterwards
- to review how your business shows up in Google and AI search before we meet
- to answer your questions and give you a quote
- to deliver our services and manage our relationship with you if you become a client
- to understand how people use our website and which marketing works, so we can improve both
- to show our ads to people who are likely to be interested, and to measure whether they lead to bookings
- to keep our website and form secure and free of spam
- to meet our legal obligations
If you don’t give us your name, email and mobile, we can’t book your session. You can contact us anonymously or under a pseudonym for general questions.
Who we share it with
We don’t sell or rent your personal information. We share it only with the service providers that help us run Era, and only so they can do that job:
| Provider | What they do for us |
|---|---|
| Cloudflare | Hosts our website and checks the booking form for spam |
| Railway | Hosts the system that receives booking form submissions |
| Attio | Our customer relationship manager, where we keep leads, clients and notes |
| Cal.com | Schedules your session and sends the calendar invite, reminders and SMS |
| Email (Google Workspace), video calls (Google Meet) and website analytics (Google Analytics) | |
| Meta (Facebook and Instagram) | Advertising and measurement (see below) |
| Fireflies | Records and transcribes our calls |
| Anthropic (Claude) | AI assistant we use to summarise call notes, prepare for sessions and help with client work |
| Asana | Project management for client work |
| Xero | Invoicing and accounting for clients |
| Slack | Internal messaging, so our team knows when a session is booked |
We may also share information with our professional advisers (such as accountants and lawyers), with a buyer if our business is ever sold, or where the law requires it.
Meta advertising
When you book a session, we tell Meta a booking happened so we can measure our ads and show them to similar people. We send your email address and mobile number to Meta in a scrambled (“hashed”) form that Meta can match to a Facebook or Instagram account but can’t read. We also send the identifiers Meta’s own cookies set, your IP address and your browser type. Meta’s use of this information is covered by Meta’s privacy policy.
Information stored overseas
Some of our providers store or process information outside Australia, mainly in the United States, and in some cases the United Kingdom or the European Union. We choose established providers with strong security, and we take reasonable steps to make sure they handle your information in a way that’s consistent with the Australian Privacy Principles.
Cookies and tracking
Our website uses:
- Google Analytics to see how visitors use the site, for example which pages are visited and which buttons are clicked
- the Meta Pixel to measure our Facebook and Instagram ads and show them to relevant people
- Cloudflare for security and spam protection
You can control these:
- block or delete cookies in your browser settings (the site still works without them)
- opt out of Google Analytics with Google’s opt-out add-on
- change how Meta uses your information for ads in your Meta ad preferences
Marketing
When you book a session with us, we’ll follow up afterwards with a short series of emails about your results and how we can help. We may also send you occasional updates about Era’s services. Every marketing email has a link to unsubscribe, and you can also reply and ask us to stop. We’ll still send messages about a session you’ve booked or work we’re doing for you.
How we protect it
We use reputable, secure providers, limit access to the people who need it, use strong passwords and two-factor authentication, and send form data over encrypted connections. No system is perfectly secure, so if a data breach is likely to cause you serious harm, we’ll tell you and the Office of the Australian Information Commissioner (OAIC) as the law requires.
How long we keep it
We keep the details of people who book a session, and of our clients, on file so we can follow up and pick up where we left off if you come back to us. We don’t delete them on a set schedule. If you’d like your details removed, email [email protected] and we’ll delete them, except records the law requires us to keep, such as financial records, which we keep for seven years.
Accessing, correcting or deleting your information
You can ask to see the personal information we hold about you, ask us to fix anything that’s wrong, or ask us to delete it. Email [email protected] and we’ll respond within 30 days. We may need to confirm who you are first. If we can’t do what you ask, for example because the law requires us to keep a record, we’ll tell you why.
Complaints
If you’re unhappy with how we’ve handled your information, tell us first at [email protected] and we’ll respond within 30 days. If you’re still not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
We’ll update this policy when the way we handle information changes. The date at the top shows when it last changed.
